Virtual Coaching Policies (add to your Policies page)

-
Virtual coaching is performance/wellness coaching (not medical treatment). We do not diagnose conditions or provide emergency care. If you have red flags (progressive numbness/weakness, bowel/bladder changes, unexplained night pain, fever/chills, etc.), seek in-person medical evaluation before continuing training.
What you receive (Virtual Coaching)
-
Programming is delivered through Notion with exercise video links, coaching cues, weekly structure, and progression rules.
-
Your plan is built around your goals, training history, equipment access, and symptom response.
Virtual tiers + boundaries (what’s included)
Program Access Only
-
Plan access + exercise links/cues/progression rules
-
No included monthly rewrite/update
-
No ongoing messaging or form review
-
Optional add-on: Program refresh/update (as listed on the pricing menu)
Program Only (Monthly Update Included)
-
4-week plan delivered in Notion
-
1 plan update per month at renewal
-
No ongoing coaching messaging or form review (scheduling only)
Weekly Check-in (Messaging Support)
-
Monthly plan + weekly structured check-ins
-
Adjustments based on your responses and training tolerance
-
Messaging window: Mon–Wed
-
Response time: within 24–48 business hours
-
Messages are for coaching support (not urgent medical concerns)
Hybrid (Call + Form Review)
-
Monthly plan + 1 video call/month (30–45 min)
-
Form review via video submission (limits apply)
-
Form review limit: up to 2 videos/week
-
Same Mon–Wed messaging window + 24–48 business hour response time
Plan delivery + update timelines
-
Initial plan delivery occurs after intake is complete and payment is confirmed.
-
Monthly updates are delivered at the scheduled renewal/update window for your tier.
-
Equipment changes, travel, or major goal shifts may require larger rewrites; scope depends on your tier (or may be billed as an add-on update).
Billing, renewal, cancellation
-
Virtual coaching is billed via monthly autopay (card on file).
-
To avoid the next month’s charge, cancellation must be requested before the next billing date.
-
Because programming is delivered digitally and coaching capacity is reserved, no refunds are provided once a plan or monthly update has been delivered. No prorating.
Scheduling (calls, if included)
-
Calls must be rescheduled with notice (use your standard 24-hour policy if you want it consistent).
-
Missed calls/no-shows may be counted as used.
Client responsibilities (safety + results)
-
Provide accurate health/training history and update us on new symptoms or limitations.
-
Follow progression + stop rules and use appropriate loads/technique during independent training.
-
For form review videos: client is responsible for safe setup, filming quality, and choosing loads that can be demonstrated safely.
Communication disclaimer
-
Text/email/messaging is for coaching and scheduling only—not emergencies. If urgent symptoms occur, seek emergency care.
